Job Title: Vehicle Fleet Administrator

Job Summary
The Vehicle Fleet Administrator is responsible for managing the organization’s vehicle operations to ensure efficiency, cost-effectiveness, and compliance with company and regulatory standards. The role involves coordinating vehicle maintenance, tracking utilization, supervising drivers, and ensuring timely availability of vehicles for operations.
Responsibilities:
- Oversee the day-to-day management of company vehicles, ensuring optimal use and availability.
- Maintain accurate records of vehicle allocation, usage, maintenance, insurance, and registration.
- Develop and implement preventive maintenance schedules.
- Monitor fuel consumption and ensure accountability of fuel usage.
- Coordinate repairs and servicing with approved vendors.
- Supervise and train drivers, ensuring compliance with safety and operational policies.
- Ensure all vehicles comply with statutory regulations (roadworthiness, insurance, licenses, etc.).
- Track vehicle movement using GPS or fleet management systems.
- Prepare periodic reports on vehicle performance, costs, and maintenance activities.
- Recommend process improvements to reduce operational costs and enhance efficiency.
Requirements:
- Minimum of 2-4 years of experience in fleet or transport management.
- Strong knowledge of vehicle maintenance, tracking systems, and road safety standards.
- Proficiency in MS Office Suite and fleet management software.
- Excellent organizational, communication, and leadership skills.
- Valid driver’s license and good driving record.
