JOB TITLE: Administrative & Finance Manager

INDUSTRY: Hospitality

LOCATION: Abuja

Summary:

Under the responsibility of the General Manager and the supervision of the Finance Department of the Group, the Administrative and Finance Manager plans and coordinates the administrative, financial and accounting tasks of the hotel, in compliance with the legal requirements and the Group’s internal procedures.

Key Responsibilities:

• Prepares the monthly reports (CEA, statistics, etc.) and is responsible for sticking to schedules for sending data to the General Manager and Head Office

• Carries out occasional internal inspections (guest ledger control and occasionally cash register inventories and consumption analysis, etc.)

• Analyses the general accounts

• Takes part and engages in the accounts receivable processes

• Monitors the banking transactions

• Monitors all supplier invoices and ensures they are paid as per the procedures

• Pays the staff each month and submits the social contribution declarations

• Prepares the quarterly and annual financial statements, participates in the consolidation of the accounts

• Prepares, oversees and approves the internal and external audit tasks

• Formulates the operating budget

• Ensures that the group’s operational, administrative, account and HR procedures are applied

• Oversees the proper functioning of the accounting items in his/her department

• Manages the relationships with the social organizations, financial institutions, suppliers, service providers

• Approves and signs the commitments and payments with the General Manager

• Is responsible for ensuring any traceability necessary for the chain of command in order to prove the establishment is complying with the fiscal, social and regulatory standards

• Keeps informed of any change in the fiscal and social legislation and provides an overview to the GM

• Works in close collaboration with the other departments and keeps informed of their needs

• Produces creative ideas for the heads of department in the subjects related to managing the budget of their department (purchases in line with the budget, sticking to staff costs, etc.)

• Supervises the work of the accountants who report to him/her

• Integrates, trains and supervises his/her staff by bringing them to their highest skill level and supporting their professional development.

• Ensures the safety of the areas under his/her responsibility, particularly in terms of backing up the hotel’s accounting, social and banking data;

• Knows and can apply the basic health and safety rules (fire, etc.);

• Strives to save energy, electricity and paper in his/her position and in the offices.

Competency and Skills Requirements

• Graduate degree in Finance and Accounting, along with a strong experience the hotel industry

• proficience in using IT equipment

• Good command of the accounting software SAGE

• Ability to design monitoring tools (dashboards, etc.) – Sound understanding of the labor legislation and tax rules

• Ability to adapt to change

• Managerial aptitude

• Meticulous, systematic and organized

• Sense of ethics and honesty

• Eye for detail

• Proactive, independent and respective

• Ability to analyze and summarize
